Import New Products from Square to WooCommerce

Learn how to import new products and product variations from Square into WooCommerce when using Square as your system of record. This guide explains why the standard Square–WooCommerce sync doesn't import new products, when a manual product import is required, and the correct process for safely importing products while keeping your inventory in sync.

How the Square synchronisation works

Before importing products from Square to WooCommerce, it’s worth understanding how the synchronisation works, as this determines which products and variations are imported. If you’re already familiar with this behaviour, feel free to skip ahead to Import New Products from Square to WooCommerce.

The regular hourly sync between Square and WooCommerce updates existing products and product variations only. It does not import new products or new product variations.

  • DOES update products that already exist in both Square and WooCommerce.
  • DOES NOT create new products.
  • DOES NOT create new product variations.

This behaviour is by design and is why a manual product import is required whenever new products are added to Square.

How product variations are imported from Square to WooCommerce

When manually importing products from Square, WooCommerce can only import variation combinations that already exist within WooCommerce. This is easiest to understand with a couple of examples.

Example 1 – New Variation Does Not Exist in WooCommerce

Suppose you already sell a T-shirt in WooCommerce with the following sizes:

  • Small
  • Medium
  • Large

You then add an Extra Large variation in Square.

The standard synchronisation will not import the new variation.

The manual product import will also not import the new variation unless Extra Large already exists as an Attribute Term within WooCommerce.

Result: The existing product is imported or updated, but the new variation is not created, and doesn’t show up on your website.

Example 2 – Variation Already Exists in WooCommerce

Using the same example, let’s imagine Extra Large has already been created as an Attribute Term in WooCommerce.

When you perform the manual import, WooCommerce recognises the existing attribute and is able to import the new variation.

Result: The product imports successfully with all available variations.

Create attributes for new variations before importing

If the new Square products include new variation values (such as Size, Colour or Material), first create those Attribute Terms within WooCommerce.

WooCommerce
→ Products
→ Attributes
→ Configure Terms

Once the required Attribute Terms exist, WooCommerce can assign them correctly during the import.

Import New Products from Square to WooCommerce

Navigate to:

WooCommerce
→ Settings
→ Square

Click:

Import all products from Square

Then click:

Import

Important

Leave Update existing products during import unchecked.

Enabling this option causes WooCommerce to treat every product as a new import, which can overwrite existing WooCommerce data, including assigned product categories.

With Update existing products during import left unchecked, the import will:

  • Import new products from Square.
  • Import any new variations where the required Attribute Terms already exist in WooCommerce.
  • Leave your existing WooCommerce product data unchanged.

After the Import

Once the import has completed:

  • Review the newly imported products.
  • Confirm that all expected product variations have been created.
  • If any variations are missing, check that the corresponding Attribute Terms exist in WooCommerce before running the import again.

Remember that Square remains your system of record, so ongoing product changes should continue to be made in Square.
