Provider availability and settings are managed under:
Amelia → Employees → Select Provider
The provider profile contains five tabs. The first two – Details and Assigned Services – don’t directly affect scheduling. Works Hours, Days Off and Special Days can be used to customise availability for any given day or time.
1. Details
This tab contains the basic information for the provider, including:
- Provider name
- Phone
- Description (optional)
- Image/avatar (optional)
This info is used for internal management and on the booking form (depending on your configuration).
2. Assigned Services
Here you select which services this provider offers.
- Tick the services the provider should appear in for booking
- Only these services will display as options on the booking calendar
This is important because availability is always calculated per provider × per service.
3. Work Hours
How it works in the free version:
This is where you set the repeating weekly schedule.
- Select each day of the week
- Add one or more time ranges when the provider is available
e.g.- 9:00–12:00
- 13:00–17:00
Amelia treats anything outside these time ranges as unavailable.
This is how you create breaks — simply leave a gap between time ranges.
4. Days Off
Use this tab to block out days the provider cannot work.
Options include:
- Single days (e.g. a public holiday)
- Multi-day ranges (e.g. annual leave, shutdown period)
Any day added here becomes fully unavailable in the booking calendar.
5. Special Days
This tab allows you to set custom working hours for specific dates.
Special Days override the regular weekly working hours for those dates.
You can use this to handle things like:
- A one-off extended day (e.g. open 8am–8pm on Dec 22)
- A shortened day (e.g. 10am–2pm on a particular Friday)
- A different schedule for a one-day event
To use it:
- Add a date
- Enter one or more working time intervals for that date
These custom hours apply only to that date.
How Amelia Generates Final Availability
Amelia combines the settings from:
- Work Hours (regular weekly schedule)
- Days Off (completely blocked days)
- Special Days (one-off custom schedules)
- Assigned Services
- Existing bookings
- Service duration and buffer time
The booking form will then show only the valid time slots.
